Sales Operations / Support Coordinator

The role
We are looking for a proactive and detail-oriented Sales Operations & Support Coordinator to join our Commercial team. In this role, you will work closely with our Key Account Managers (KAMs), Account Executives (AEs), Customer Success Managers (CSMs), and the Business Operations Lead to streamline processes, ensure smooth customer onboarding, and monitor the usage of our in-store scanners after delivery.
This role is ideal for someone who thrives behind the scenes, keeping everything running smoothly and flagging issues before they become problems. You’ll play a critical role in making sure our customers are not just sold, but fully set up for success.
Key Responsibilities:
- Post-Sale Execution & Activation
- Oversee the scanner delivery process and ensure all stakeholders are aligned.
- Track scanner installation, activation, and initial usage.
- Proactively follow up on new installations to ensure the scanner is being used consistently.
- Sales Process & Administrative Support
- Prepare and manage order forms, quotes, and contracts.
- Coordinate internally to ensure timely delivery, onboarding, and support.
- Maintain up-to-date records and notes in the CRM system (HubSpot).
- Support pricing or contract updates and internal documentation flows.
- Sales Operations & Reporting
- Generate and maintain sales reports, customer onboarding trackers, and usage dashboards.
- Monitor key milestones in the customer lifecycle, from signed contract to steady usage.
- Help improve internal checklists, handoff procedures, and operational workflows.
- Enablement & Internal Support
- Support the team with presentations, templates, and process documentation.
- Assist in onboarding new sales team members with access, tools, and process support.
- Keep price lists, product information, and FAQ materials current and accessible.
Qualifications:
- 1-3 years’ experience in a sales operations, customer onboarding, or a coordinator role.
- Strong organizational skills and the ability to drive processes across teams.
- Detail-oriented with a hands-on approach and follow-through mindset.
- Comfortable with CRM systems (e.g., Salesforce, HubSpot) and spreadsheet tools.
- A clear communicator who’s confident raising red flags or nudging others into action.
- Fluent in English.
Bonus - Not required, but nice to have:
- Experience working in SasS, retail tech, or customer success environments.
- Familiarity with hardware logistics, or usage tracking tools.
- Interest in continuous improvement and operations automation.

This is a full-time position based in Stockholm, reporting to the Business Operations Lead.
